How Myzone handles your data when a club invites you
A club you belong to has asked Myzone to email you an invitation to join Myzone. This notice explains what we do with your personal data when we do that. Our Privacy Notice explains everything else we do with personal data, and applies if you create a Myzone account.
1. Who is responsible for your data
Myzone Holdings Limited (Myzone, we) is responsible for the personal data described in this notice. Our address is Level 3, Gordon House, 10a Prospect Hill, Douglas, Isle of Man IM1 1EJ. You can contact our Data Protection Officer at dpo@myzone.org. We are registered with the Isle of Man Information Commissioner under number R000702. Our UK and EU representatives are listed in our Privacy Notice.
2. Where we got your details
The club named in the invitation gave us your name and email address. It holds them because you are a member there. We did not collect them from you. We do not receive any other information about you from the club for this purpose. Before the club sends invitations, it confirms to us that it is entitled to share your details and to contact you about Myzone.
3. What we do with your data and why
| What we do | Your data | Why we are allowed to | How long we keep it |
|---|---|---|---|
| Send you the invitation and up to three reminders | Your name and email address | Legitimate interests: ours and the club’s in letting members know they can join Myzone. We balance this against your interests: you can ignore the email, opt out in one step, and we send no more than four emails. | 30 days after the last reminder, unless you join or opt out |
| Remember your choice if you decline or opt out, so that we do not contact you again | Your email address, held in protected form | Legitimate interests, and our legal obligations to honour opt-outs where the law requires | For as long as needed to respect your choice |
| Set up your account if you choose to join | As described in our Privacy Notice | As described in our Privacy Notice | As described in our Privacy Notice |
| Deal with questions, complaints and legal claims | Your contact details and our emails with you | Legitimate interests and legal obligations | Between 30 and 60 days (unless the invitee declines, then their email is stored for suppression reasons) |
We do not use your name and email address for any other marketing, we do not build a profile of you from them, and we do not make decisions about you using automated processing.
4. Who we share your data with
We share your data with the club that invited you in two ways. If you join, you appear in the club’s member list like any other member, but it does not see whether you personally declined or opted out. We also share it with companies that provide email delivery, hosting and customer relationship management services to us, who act on our instructions, and with regulators, courts and law enforcement where the law requires. We do not sell your data.
Myzone is based in the Isle of Man and some of our providers are outside it. Where that happens we use the safeguards described in the “International data transfers” section of our Privacy Notice.
5. Your choices
Every invitation email has links that let you stop invitations from the club that invited you, or stop all Myzone invitations from any club. Opting out does not affect your membership of the club and does not affect any Myzone account you already have.
If you do nothing, we do not create an account for you, and we stop emailing you after the fourth email.
If you opt out, we keep a protected record of your email address so that we do not contact you again. If you ask us to delete that record, we will explain what this means first, because we may then be unable to stop future invitations.
6. If you already have a Myzone account
If the email address the club gave us matches a Myzone account, we tell you in the email which club your account is currently connected to. We use your existing account details for this, which we hold under our Privacy Notice. Your account only moves to the new club if you confirm in the app. The inviting club does not see your existing account details or which club your account is connected to. If you move your account, you appear in the club’s member list like any other member.
7. Your rights
You can ask us for a copy of your data, to correct it, to delete it, or to restrict how we use it. You can object to our use of your data, and you have an absolute right to object to direct marketing. You can complain to the Isle of Man Information Commissioner or, if you live in the UK or the EEA, to your local supervisory authority. Contact details are in our Privacy Notice. To exercise any right, email dpo@myzone.org.
8. Children
We only send invitations to adults aged 18 or over. If you think an invitation has been sent to someone under 18, tell us at dpo@myzone.org and we will delete the data.
9. Changes to this notice
We may update this notice. The current version is always at https://www.myzone.org/legal/member-invitation-data-notice. Last updated: 2026-10-14.
